The role:

To deal effectively and courteously with all enquiries to the office using own initiative and discretion and pass on information to the Manager as required. To deal tactfully with routine and ad hoc situations in a sensitive and competent manner.

Organising the work, including diary management, for the Manager

Organising regular external and internal meetings

Ensuring that files and papers are available and up-to-date.

To provide secretarial support to the Manager (including Clinical Governance workstream) by producing correspondence, reports (both monthly and weekly incident reports) and minutes

To be the lead on Sentinel incident reporting system; providing Sentinel and incident reporting training to both clinical and non-clinical staffs; inputting incidents, complaints and compliments; producing weekly incident reports and updating all necessary changes after the weekly incidents review meeting; point of contact for Quality Team for Sentinel enquiries.

Producing management and quality reports as required and updating on regular basis

Support the Admin Team Leader with the online Recruitment system ‘Advorto’ process on behalf of SMT; which involves creating requisitions for vacant posts, forwarding applications to the SMT member; arranging interviews: collecting DBS documentation from successful candidates and ensuring it is forwarded to the HR team; updating ‘Advorto’ as necessary; uploading interview notes on the system; weekly liaison with HR on the progress of each candidate; completion of New starter forms for nursing staffs; co-ordinate inductions.

Responsible for opening posts according to the SOP.

To support the Volunteer Administrator with volunteering queries

Responsible for the recording, counting and banking of catering sales, amenity fund and legacy cheques

Book, plan and organise external and internal meetings/events/ exhibitions, ensuring that catering and equipment requirements are arranged or set up as appropriate. Where required to ensure that invoices are raised.
